To automate appointments, do I need the WhatsApp API or is the app enough?
For bookings to happen on their own you need the official API: the WhatsApp Business app does not schedule messages or connect to bots or a calendar. The app works if you book a few appointments by hand. And you keep your number: the safest route is a new number on the API, moving clients over gradually.
Below we compare the two, explain how to change numbers without losing clients (what we recommend to every business that starts with us) and why we do not recommend the other two options.

The app and the API, for booking appointments
| WhatsApp Business app | Official WhatsApp API | |
|---|---|---|
| Answering and booking on its own, at any hour | No: you reply by hand | Yes, with an AI assistant and a form inside the chat |
| Automatic reminders | No: the app does not schedule messages | Yes, at the time you choose |
| Form connected to your calendar | No | Yes (WhatsApp Flows + Google Calendar) |
| Connecting bots or software | No: its terms forbid it without WhatsApp’s permission | Yes, that is what it exists for |
| Cost | Free | Meta charges per message, plus the platform you use |
The app is good to start with: if you book a few appointments a month and can reply quickly, it is enough. When chats pile up, people write at night or you forget to remind them, it is time for the API.
How not to lose your number (what we recommend)
Your usual number holds your clients. There is no need to risk it: what we recommend to every business is to run two numbers for a while.
- Open a new number on the official API. That is where we connect the AI assistant, the form and the reminders.
- Keep using your usual number in the app, as you do today. You delete nothing.
- Move your clients over gradually. Whoever writes to the old number, send them the new one; put it in your profile, your status and your away message.
- All your new advertising goes straight to the new number: Meta, Instagram and Google ads and your website.
- When the old one barely gets messages, you decide whether to keep it or retire it.
A message you can use on the old number: «From now on we book on [new number]: we reply instantly there and you pick your time in the chat. Save it as [business name].»
The other options, and why they are not our first recommendation
- Moving your usual number to the API. It can be done, but Meta requires deleting that number’s WhatsApp account first, and the app’s chats do not move to the API. It works if you do not mind starting your history from scratch; we do it with you if you choose it.
- Coexistence: the app and the API on the same number. It has existed since February 2025 and syncs up to six months of individual chats, but groups do not carry over, broadcast lists become read-only and, if the main phone goes about 14 days without opening the app, it disconnects. In our experience with clients, numbers in coexistence also get banned more often. That is why we do not recommend it.
- Unofficial tools that automate WhatsApp Web or the app. WhatsApp’s terms forbid apps that interact with the app without its permission, and WhatsApp can limit or remove access for whoever does it. Not an option for a business.

The demo runs on the official API: you message it as a client, the assistant replies and you book in the form inside the chat.
Frequently asked questions
Do I lose my number if I move to the WhatsApp API?
No, if you open a new number for the API and keep using your usual one in the app. That is what we recommend: you move clients over gradually and new advertising goes to the new number. If you would rather move your same number to the API that works too, but its app account has to be deleted.
Do I lose my chat history?
With a new number, no: your history stays in the app, on your usual number. If you move your usual number to the API without coexistence, the app’s chats do not carry over. Coexistence syncs up to six months of individual chats, but we do not recommend it.
Can my number get banned?
The big risk is unofficial tools: WhatsApp’s terms forbid them and WhatsApp can limit or remove access. On the official API you follow Meta’s rules: messages the client asked for, approved templates and no mass sending without permission.
Can I keep using the WhatsApp app on my phone?
Yes, on your usual number. The new number lives on the API and you handle it from the platform’s web inbox, on a computer or a phone.
Is the WhatsApp API expensive?
Meta charges per message, and in most countries it is cents a month for a normal calendar. What clients write to you is free, every number gets 1,000 free service messages a month, and 100 appointments with their reminders cost USD 0.24 in Colombia or 1.02 in the US. The platform is separate: AgendaWPP from USD 79 a month.
Do I need my company verified with Meta?
Yes, for the official API your company has to be verified with Meta. Doing it yourself is free and takes 1 to 3 business days; if you would rather we handle it, it has an extra cost.
