How do you reduce no-shows with WhatsApp reminders?
With an automatic reminder the day before that asks to confirm with one tap and lets the client reschedule or cancel in the same chat. Studies show reminders cut no-shows by about a third. What adds the most after that is giving the freed-up slot to another client, in time.
Below: when to send each message, templates to copy, what the studies say (and which promises not to believe), what Meta charges per reminder from October 2026 and how AgendaWPP does it. If you still book by hand, start with the guide to taking your business’s appointments on WhatsApp.
The demo books a test appointment and shows you the reminders as your client would get them.
When to send each message
| When | What it says | What for |
|---|---|---|
| On booking | Date, time, service, staff member and address. | So the appointment is written in the client’s chat from minute one. |
| The day before | The booking summary and a button to confirm, another to reschedule and another to cancel. | Know in time who is coming and free up the slot of who is not. |
| A few hours before | How to get there, where to park or what to bring. | That they come and come on time, especially for long or expensive services. |
Does the exact timing matter much? Less than it seems: a review of 29 studies found little difference between reminding a day or a week before. What matters is that the reminder arrives and that replying is easy.
Reminder templates to copy
Change what is in brackets. If you send them through the official API, Meta approves them as utility templates: keep them this concrete, with no promotions.

What the studies say (and which promises not to believe)
- No-shows drop by about a third. A review of 29 hospital studies found reminders cut non-attendance by around 34 % of the usual rate; automated ones by 29 %, and calls made by a person by 39 %. Hasvold and Wootton, 2011.
- A second reminder helps, but less. In a trial with more than 158,000 appointments, sending two messages instead of one cut no-shows by another 7 % in primary care and 11 % in mental health. Kaiser Permanente Washington, 2022.
- Be wary of «up to 80 %». The highest figures usually come from vendors and almost always include prepayment or a specific niche. With a reminder and a confirmation, a 20 to 40 % improvement is a reasonable expectation.
What each WhatsApp reminder costs
With the WhatsApp Business app sending a message is free, but the app does not schedule messages: you have to write to each client by hand, every day.
Through the official API reminders go out on their own, and Meta charges them as utility templates, per message and at your country’s rate: USD 0.0008 in Colombia, 0.0034 in the US, 0.0068 in Brazil, 0.0085 in Mexico, 0.02 in Chile, 0.026 in Argentina and 0.03 in Peru from 1 October 2026.
With 100 appointments a month and 3 messages each (confirmation and two reminders): USD 0.24 in Colombia, 1.02 in the US, 2.55 in Mexico and 9.00 in Peru. A single appointment that is not lost pays for that many times over.
The country-by-country detail and what changed in October 2026 is in the WhatsApp API price in 2026.
How AgendaWPP does it
- Up to 5 reminders per appointment, at the time you choose, from your own number and under your business name.
- One-tap confirmation from the chat, and the client can reschedule or cancel right there, in the form.
- Optional waitlist: when someone cancels, it messages whoever wanted that time on WhatsApp.
- No-shows are tracked in your statistics, next to bookings, cancellations and returning clients, so you can see whether they drop.
- Come-back reminder: it writes to whoever has gone X days without an appointment.
It comes with all three plans, from USD 79 a month with the AI assistant included. See pricing.

Frequently asked questions
How far in advance should I send an appointment reminder?
One the day before and, for long or expensive services, another a few hours before. The review of 29 studies found little difference between reminding a day or a week ahead: what matters is that it arrives and that confirming or changing the appointment is easy.
How many reminders should I send?
Two are usually enough. In the Kaiser Permanente trial, the second message cut no-shows by another 7 to 11 %. Beyond that, take care not to overwhelm the client.
Can I send WhatsApp appointment reminders for free?
By hand, yes: with the WhatsApp Business app you do not pay to write to each client, but the app does not schedule messages. For them to go out on their own you need the official API, and there Meta charges each reminder as a utility template, from USD 0.0008 in Colombia to 0.03 in Peru.
What do I do when a client cancels at the last minute?
Offer that slot to someone else as soon as possible. With a waitlist you message whoever wanted that time; in AgendaWPP the waitlist is optional and notifies on WhatsApp by itself when a slot frees up. Stating your cancellation policy when confirming also helps.
Does charging a deposit reduce no-shows further?
Usually yes, because whoever has paid has something to lose. That is why the highest figures vendors publish usually include prepayment. In AgendaWPP the booking form can be set to arrive after payment; it is custom work and quoted separately.
What should I not put in a WhatsApp reminder?
Sensitive data: in healthcare, no diagnosis or treatment; date, time, place and professional are enough. Personal data rules vary by country (HIPAA in the US, GDPR in Europe, and each Latin American country has its own law). This is general information: if you have doubts about your case, ask a lawyer.
Do reminders work for any business?
Yes, for any business that takes appointments or bookings: practices, dentistry, psychology, barbershops, nail salons, spas, accountants, lawyers, gyms or sports courts. The text changes, not the idea: remind, confirm and make changing the appointment easy.
