What WhatsApp Flows is
WhatsApp Flows is a feature of the official WhatsApp Business API that opens screens with fields inside the chat itself: pick lists, dates, checkboxes and buttons, like a small app. The customer never leaves WhatsApp, installs nothing and types nothing: they tap and pick.
If you have ever booked a slot over WhatsApp, you know the alternative: back and forth asking which services there are, with whom, what day and what time. With Flows all of that happens on one screen, and the business answers no messages.
Meta offers it for bookings, sign-ups, surveys and purchases. Two cases Meta has published (they are not our customers): Farmacias del Ahorro, in Mexico, got 160% more medical appointments booked with a Flows form, and Lenovo, in Indonesia, 8.2 times more tech-support bookings than through its website.

How it connects to Google Calendar, step by step
WhatsApp Flows does not connect to any calendar on its own: Meta provides the form, and between the form and Google Calendar there has to be a server that checks availability and writes the appointment. This is what that server does on every booking.
- The customer opens the form from the chatThey tap a button in a message from your WhatsApp. The form arrives with your logo and your business name, and lists your services with price and duration.
- The server asks Google Calendar what is freeRight then, for that service and that staff member. It crosses their Google Calendar with their hours and breaks, blocked days and holidays, the service length, the buffer between appointments and the minimum notice.
- The form shows only those slotsThe customer picks a day and time among the ones that really fit. If the staff member has a personal event in their calendar, that slot does not appear.
- On confirmation, the appointment is written into the calendarAs an event in that staff member’s Google Calendar, in their color. The customer gets the confirmation in the chat and then the automatic reminders.
- Sync works both waysIf the customer reschedules or cancels from the chat, the calendar updates instantly. If you delete the event in Google Calendar, the appointment is cancelled automatically.
Three ways to get WhatsApp Flows with Google Calendar
- Build it yourself. You need a number on the official WhatsApp Business API, the Flow (the screens, described in Meta’s JSON format), your own server that answers the form’s requests in real time and encrypted (Meta requires registering a public key pair on the number), the Google Calendar API to read availability and create events, and to publish the Flow and send it in a message. It is weeks of development, and it has to be maintained.
- A generic integration of the “when something happens in the calendar, send a WhatsApp” kind. It works for notices and reminders, but not for letting the customer pick among the free slots inside the chat: that takes the server from the previous point.

What is WhatsApp Flows?
It is an official Meta feature that opens a form with screens and fields inside the WhatsApp chat. Does WhatsApp Flows connect to Google Calendar by itself?
No: Meta provides the form, but a server makes the connection with the calendar. That server checks each staff member’s Google Calendar when the customer opens the form, shows only the free slots and creates the event on confirmation. With AgendaWPP that server already exists; if you build it yourself, you code it and maintain it.
Is WhatsApp Flows free?
Meta has no separate fee for using Flows: the form travels in a message and is paid like any other. Booking takes 2 messages per appointment, and every number gets 1,000 free service messages a month. What is charged separately are utility templates, such as reminders, at your country’s rate (table by country). The software that runs it is a separate cost.
Does it work with the WhatsApp Business phone app?
No. WhatsApp Flows only works on the official WhatsApp Business API. The number moves to the API and stops being used in the phone app: from then on you reply from a web inbox, you or your team. It can be your current number or a new one.
What happens if I add something by hand to my Google Calendar?
That slot stops appearing in the form. Availability comes from each staff member’s real Google Calendar, so a personal event, a meeting or an appointment you added yourself blocks that time. And if you delete an appointment’s event in Google, the appointment is cancelled automatically.
Can each staff member have their own Google Calendar?
Yes, each one has their own, with their hours, breaks and the services they handle, and every appointment lands in the calendar of whoever takes it, in their color. The customer picks who, or taps “Any staff member” and the system assigns whoever has the slot. The Individual plan includes 1 staff member, Business up to 5 and Team up to 15.
Do I need to know how to code?
With AgendaWPP, no. We load your services, staff and hours and connect your number; afterwards you change prices, hours or staff from your dashboard. If you want to build it on your own, yes: you have to code the Flow, the encrypted server that answers the form and the Google Calendar API connection.
Which countries does it work in?

How is it different from a booking chatbot?
In who picks the time. With a chatbot the customer types and the bot interprets what they meant; it can misunderstand and offer something you do not have.
